Membership & Payment Terms
1. Payment Schedule
Courses, projects, and workshop places must be paid for in
advance. Once payment is made, you are securing and committing to your child’s
place. This payment is non-refundable and non-transferable.
2. Show & Kit Fees
– After-school programmes and workshops may incur an
additional charge for show tickets (usually around £5 per person).
– Kit purchases (uniform, etc.) are payable separately and can be ordered via
the All Boogie website.
– Workshop weeks may include extra charges: £5 per ticket and £10–£15 per person for a welcome goodie bag,
which includes a workshop t-shirt. Workshop
t-shirts will be delivered directly to the project.
Cancellations, Refunds & Notice
4. Cancellations & Notice Period
Once a project or workshop is booked and confirmed, we
cannot offer a refund for cancelled places or a change of mind.
5. Refund Policy
– No refunds are given for missed classes due to illness,
holidays, or other commitments.
– If The Star Project cancels a class (outside of scheduled holidays), a credit
will be applied or an alternative session will be offered (virtual or in
person).
– No refunds or credits will be issued if you choose not to attend a course or
workshop after payment.
– Refunds are not available if your child changes their mind.
– If a refund is agreed, a £10 administration fee may be deducted for payments
processed via PayPal or BACS.
Attendance, Absence & Lateness
6. Attendance
– Children must arrive on time.
– Latecomers must wait until an appropriate time to enter.
– Students arriving more than 15 minutes late may not be admitted.
– Good attendance is essential. Students missing 3+ sessions per term without
reason may lose their place, as this affects rehearsals.
7. Illness & Injury
– Children must not attend if unwell or carrying a
contagious illness (e.g., chickenpox, head lice, flu, common cold, or COVID-19
symptoms).
– All government guidance regarding self-isolation must be followed.
– A health declaration may be required before returning.
Supervision & Child Safety
8. Supervision While On Site
– Children are always supervised while on the premises.
– Toilet breaks are monitored by staff or assistants.
– Students must ask permission before leaving class.
9. Child Collection & Late Pick-Up
– Children must be collected promptly at the end of class.
– Late collection charges apply:
– 5+ minutes: No charge
– 10+ minutes: £5
– 20+ minutes: £15
– 30+ minutes: £30
– 45+ minutes: £40
– 60+ minutes: £60
– If a child is left more than 1.5 hours, charges double.
– If no parent/guardian or emergency contact can be reached, and no authorised
adult is available to stay, The Star Project will follow safeguarding
procedures. This may include contacting Children’s Social Care or, if
necessary, the police, to ensure the child’s safety.
Uniform & Behaviour
10. Uniform
– Students must wear:
– Top: Plain black or The Star Project
t-shirt/vest.
– Bottom: Plain black leggings or
tracksuit bottoms (no jeans, trousers, dresses, or skirts).
– Shoes: Black jazz shoes or black
plimsolls with black socks.
– No logos or branded clothing from other dance/theatre schools.
– Uniform must be clearly labelled.
– No jewellery (including earrings).
– Hair must be tied back.
11. Second-Hand & Donations
– Second-hand shoes and clothing may be available at
discounted prices.
– Donations of good-quality dancewear are welcome and may be resold or lent to
students in need.
Behaviour & Code of Conduct
12. Code of Conduct
– Racist, sexist, or offensive behaviour/language will not
be tolerated.
– The Star Project reserves the right to terminate membership without notice or
refund for breaches of conduct.
– All staff, parents, and students must follow our Code of Conduct.
– Staff must not be contacted on personal social media or personal
channels—only via the correct SAP communication channels (this applies even
after they leave the company).
– No pets are allowed on the premises.
Shows, Bookings & Priority Enrolment
13. Performances
– Parents/carers may be invited to one class or show per
term.
– Costumes and props are provided where possible, but parents may be asked to
supply basic accessories or contribute to costs.
14. Booking & Enrolment
– No drop-in classes—sessions must be booked in advance.
– New students may join mid-term if space allows and with management approval.
15. Priority Booking
– A 2-week priority booking window is given to current
students before enrolment opens to the public.
– Booking order of priority:
1. Current students (same course)
2. Current students (new/extra course)
3. Siblings of current students
4. Waiting list members
Waiting List & Place Commitment
16. Waiting List
– Places are offered in order of registration.
– The first family to confirm receives the place.
17. Commitment to Place
– Places are allocated on a first come, first served basis.

– The emergency Star Project mobile is held by the Director
and shared at registration.

Online Classes, Severe Weather & Force Majeure
19. Online Provision
– In the event of severe weather or force majeure, classes
may be delivered virtually instead of in person.
– No refunds or credits will be offered in these circumstances.
– In case of government-mandated closures, classes will continue via video
conferencing.
– Children isolating but well may join virtually.
– If a child is unwell and unable to attend, the session will be considered
missed with no refund.
Legal & Liability
20. Legal & Safety Responsibilities
– The Star Project is not responsible for loss or damage to
personal belongings.
– We accept no liability for injuries sustained during classes.
– Parents must notify us of any changes to their child’s medical or personal
information.
Our Staff
21. Qualified & Trained Team
– All staff, including cover teachers, are DBS-checked and
experienced.
– Volunteers and placement trainees are also DBS-checked.
– A qualified first aider is always on site.
Payment Conditions & Late Payment
22. Payment Policy
– Full payment must be received before the start of term to
secure a place.
– Failure to pay may result in loss of place or restricted class access.
– Non-payment may be referred to a debt collection agency.
Fee Increases
23. Price Changes
– Fees may increase annually in line with inflation and
business costs.
– The Star Project may not provide individual notice of fee changes.
Privacy Notice
The information we collect
We may collect and process the following information:
•Children’s details: name, date of birth, attendance records, medical or allergy information (to protect health and safety).
•Parents’/guardians’ details: name, address, phone numbers, email address, emergency contacts.
•Payment details: where required for fees.
•Photos/videos: with parental consent, for publicity, marketing, and school records.
Why we collect personal data (our lawful basis)
We use the information we collect to:
•Provide theatre classes
& events
and communicate with you about them (contract).
•Safeguard students and comply with child protection, health and safety, and other legal obligations (legal obligation).
•Manage attendance, billing, and administration (legitimate interests).
•Share updates, news, and marketing with you (consent).
•Use photographs or videos of students for publicity/marketing (consent).
How we store and share data
•Personal data is kept securely.
•We may share information with trusted service providers (e.g., payment processors, IT systems) where necessary to deliver our services.
•We may also share data if required by law (e.g., safeguarding concerns, insurers, regulators).
•We never sell personal data to third parties.
How long we keep data
•Student records: normally kept for 5 years after a child leaves, in line with safeguarding and legal guidance.
•Financial records: kept for at least 6 years for tax and accounting purposes.
•Photos/videos: kept only for as long as we have parental consent.
Your rights
You have the right to:
•Access a copy of your or your child’s personal data.
•Request correction or deletion of data.
•Withdraw consent (where processing is based on consent, e.g. marketing or photos).
•Object to or restrict how we use personal data.
•Make a complaint to the Information Commissioner’s Office (ICO) if you’re unhappy with how we handle data.

Child Protection Policy
1. Policy Statement
The Star Project Events is committed to safeguarding and promoting the welfare of all
children and young people in our care. We believe that:
The safety and wellbeing of children is our highest priority.
All children, regardless of age, disability, gender identity, race, religion or belief, sex, or
sexual orientation, have the right to equal protection from harm.
Safeguarding is everyone’s responsibility.
This policy applies to all staff, volunteers, franchisees, contractors, and anyone working on behalf of The Star Project
Events.

3. Safeguarding Leadership
Designated Safeguarding Leads (DSLs): Jo Payne and Shannon Lee
Deputy DSL: Nancy Ling
The DSLs are responsible for:
Receiving safeguarding concerns and acting on them.
Liaising with local safeguarding partners (Local Authority Children’s Services, LADO, police).
Ensuring staff safeguarding training is up to date.
4. Categories of Abuse
In line with statutory guidance, abuse may include:
Physical abuse – hitting, shaking, poisoning, burning, or otherwise causing harm.
Emotional abuse – persistent emotional ill-treatment such as rejection, humiliation, or bullying.
Sexual abuse – involving a child in sexual activity (physical or online), grooming, or exploitation.
Neglect – persistent failure to meet a child’s basic needs for food, shelter, safety, or supervision.
Other safeguarding concerns – including child sexual exploitation (CSE), child criminal exploitation (CCE), domestic abuse, online abuse, peer-on-peer abuse, and harmful sexual behaviour.
5. Staff Code of Conduct
Staff must maintain professional boundaries with all students.
Any physical contact must be safe, necessary, and explained (e.g., supporting a movement or preventing injury).
Staff must not use sexualised or suggestive language, behaviour, or humour.
Staff must never engage in private contact with students via social media, text, or personal email.
No member of staff should ever be alone with a child where they cannot be observed, except in an emergency.
6. Safer Recruitment
All
staff, chaperones, and volunteers will undergo enhanced DBS checks before working with children.
References and identity checks will be carried out in line with safer recruitment guidance.
All staff will receive safeguarding induction training before starting work.
7. Reporting Concerns
Any staff member with a concern about a child must report it immediately to the DSL or Deputy DSL.
Concerns must be recorded in writing, signed and dated.
If a child is in immediate danger, staff should call 999.
If the concern relates to a staff member, the DSL must notify the Local Authority Designated Officer (LADO).
8. Confidentiality & Record Keeping
Safeguarding records will be stored securely and separately from other records.
Information will only be shared with those who need to know, in line with GDPR and safeguarding law.
Children will be informed when information about them needs to be shared, unless doing so places them at further risk.
9. Safer Environment
Children must always be treated with dignity and respect.
Inappropriate comments, sexual innuendo, or discriminatory language are strictly prohibited.
Photography, filming, or publicity use of children’s images will only take place with written parental consent.
Online platforms, livestreams, and digital communications must follow safeguarding best practice.
10. Monitoring & Review
This
policy will be reviewed annually, or sooner if legislation or safeguarding guidance changes.
All staff and franchisees must confirm in writing that they have read, understood, and agree to follow this policy.
